Permit First Class Mail
This field (Yes/No selection) controls whether the label generator
will permit labels to be generated for addressees that cannot be
classified for a bulk-rate.
For instance, non-USA addresses, or
addresses without ZIP codes, would qualify as First Class Mail.
All First Class Mail is targeted to a SINGLE sack, regardless of
the number of pieces or weight, as each piece must be handled
separately.
One label is generated for the sack, as shown below.

Set System Date/Time
The date/time in your system is probably invalid.
A check of the date in your system showed a date that was earlier than
the program's compile date (1991).
Enter the correct date/time, and press ENTER.
NOTE: If your system has a built-in clock, this screen will only set the
DOS date/time. The built-in clock must be set by another command,
or by your set-up routine. Check your system manual for details
on setting your system clock.

Insert A New Diskette For An Output Function
The current disk is full, and another diskette is required to
continue the output.
Be sure you have plenty of formatted diskettes on hand before
running this option. If in doubt, exit the program, format
sufficient floppies, and re-run this option.
Remove the diskette in the drive, and place a formatted (empty)
diskette in it's place.
Press ENTER to continue the output function.

DOS Environment Variables
There are two DOS Environment variables which may be set prior to starting
the MAILLIST program. Use the DOS 'SET' command to place the values in
the command processor's environment. We suggest that you place the SET
commands in your AUTOEXEC.BAT file.
1. CLAVID
DOS COMMAND: SET CLAVID=Y
If set to 'Y', the screen processor will not wait for vertical retrace
before updating the screen.
On most monitors, this will significantly
increase the performance of the screen driver.
Try the option by
issuing the SET command at the DOS prompt, then starting the MAILLIST
program. If you do not get "snow" on the screen, your video adapter
permits this option to run correctly.
2. CLATMP
DOS COMMAND (example): SET CLATMP=D:\TMPFILES
Path used by the overlay processor when the MAILLIST program calls
sub-programs.
The processor copies program variables into a temporary
file while the sub-program executes. Currently, this path is used
only during data base conversion when a new level is installed.
The default is the current directory.
If you have a LARGE VDISK
(1MB or larger), it is a good candidate for this path.

F2 presents a table of defined mail lists for selection,
or entering a new name creates a new mailing list for
data entry.
This option allows for direct entry into a mail list and
alleviates the need to manually add names to a mail list
after data entry. This option is most useful for doing
keyboard input to your database.

Import Error List .. continued
Clearing Errors (DEL and ALT+F5 keys)
Clearing errors will remove the error list entry and the associated person
file record. No valid person file records will be removed, only those
which have import errors associated with them.
DEL Press the DEL key to remove all error records for 1 person. The error
list will be redisplayed (unless there are no entries left).
ALT+F5 This key removes ALL error records. A progress window is displayed
while the removal takes place. You can interrupt the process at any
time by pressing ALT+F10. If the process is permitted to complete,
the error list is not re-displayed, as it would be empty.

Import Error List
Persons with import errors ARE NOT ELIGIBLE FOR ANY OUTPUT FUNCTIONS!
The import error list displays one entry for each error that has been
encountered by the Import ASCII File function. There may be more than one
error for a single import record. The error list only displays when
errors exist. The message to the right of the View the Import Error List,
indicates whether errors exist.
Fixing errors:
When selected, a table of ALL errors is displayed. Select an entry and
press ENTER. A basic (import fields only) Person Data Entry form is
displayed. If you complete the form, the form's edit guarantees there
are no errors for that PERSON. All error list entries for that person
are removed before the table is re-displayed.
When the table becomes
empty it returns to the main menu.
Persons with errors are displayed in the normal Person File List.
Errors are removed if you complete the Person Data Entry screen from
the normal Person List.

Export Loaded List
Exporting the LOADED LIST generates an Export file for
all Loaded mailing lists. This can be a single list,
multiple lists, or the entire data base.

Mailing List Export
Mailing List Export creates an ASCII Export file for a
single mailing list. If the option is selected, a list
of mailing lists is displayed from which you select the
mailing list to be exported.
An excellent way to learn the format for IMPORT files
would be to enter some practice names into your data
base and EXPORT them to an ASCII file. Viewing this
file will provide a perfect example of how your Import
files must look for inclusion in the data base.

Export Entire Person List
Exporting the Entire Person List generates an export file
containing all persons in the data base. This option is
the only export option which sorts the output file by
Last, First, Middle names.

Export Overview
All export options create an "export" file which may be imported to another
copy of the MAILLIST program, or to any other program which can read the
export file format.
Output is either to one or more diskettes, or to the hard-disk. If you
wish to place the output on diskettes, Export will completely fill all
diskettes, except the last. Therefore, if you wish to place a "comments"
file on the first diskette, do so before starting the export function.
All three export types (see Selection List) operate similarly, except
for the amount of data outputted. Exports of the Person List are SORTED BY
NAME. All others are UNSORTED.
Persons with entries in the Import Error List will not be exported.

The Export file format is described under the help for 'Import ASCII File'.
For all exports, you will be asked for a Target File. Enter the DOS file
name for the export file. Any existing file with the same name will be
overlaid (unless marked read-only, in which case, you will be asked for a
different file name.)
Outputting "user comments" is optional.
Select YES/NO on the export
target file screen.
Select NO if you wish to share a list of persons,
but not your private comments.
You can terminate the export any time the message:
Press ALT+F10 to terminate
is present on the screen. If you terminate after the output file has been
started, the output file on the current disk is deleted. Files on previous
diskettes are left intact, and you must erase them using the DOS ERASE
command.

Enter the target DOS file name for the USPS ZIP+4 service
file. Any existing file with the same name will be
overlaid (unless marked read-only).
We recommend that you make this file directly to diskette.
A report containing the number of diskettes, and number
of records will be displayed after the export completes.
There will be approximately 10-K free space on each output
diskette, allowing for defective sectors on the blank
diskettes.

Force All Entries to ZIP+4
This field (Yes/No selection) controls whether the ZIP+4 file
generated will contain ALL data base entries, or ONLY those that
have not been ZIP+4 validated before. The USPS requires that you
refresh ZIP+4 Address Correction every 6 months to qualify for
the lower ZIP+4 rate. If you are refreshing your entire data base,
select YES, otherwise select NO. If you select NO, only those
person file entries that either have not been validated, or which
have had an address component changed will be placed in the ZIP+4
service file.

Data Entry Screen
Fields which REQUIRE input will not let you pass them without entering data.
Fields which require a specific data format (Numeric, Dates, or selection
from a list of values) will not accept incorrect input.
Selection lists are identified by an input field followed by a series
of values. When the input field is selected, one of the values is also
highlighted, and its value is placed in the input field. Either type
the first character of one of the values, or use the
keys to select a
different value. When you press ENTER, the value displayed in the input
field is placed in the data base record. (Actual data base updates do
not occur until you have completed the screen.)
Special Keyboard functions are documented by TEXT STRINGS displayed on the
screen. (Copy Mailing List, Copy Printer Control File, Access Person
file Comments, etc.)

Data Entry Screen
Data entry forms are used for data base Additions, Updates, and confirmation
of deletes. When first displayed, a "mode" message will appear below
the title line at the top of the screen.
If Delete mode is in effect, you confirm the deletion by pressing ENTER,
or disallow it by pressing ESC,
For Add/Update, a field on the screen will be "highlighted", usually by
reversing the color of the input area. Type the pertinent data into the
field, and press ENTER to proceed to the next field on the screen.
Pressing ENTER on the LAST field on the screen completes the data entry.
The data base is updated, and the previous screen is displayed. Pressing
CTRL+ENTER (anywhere) is equivalent to pressing ENTER on the last field.
If you make a mistake, and have not pressed ENTER, press ESC to restore
the field's original contents. If no data has been entered, and you press
ESC, the previous field will be highlighted. If you press ESC when the
FIRST field on the screen is hightlighted, you wil return without updating
the data base.
Pressing CTRL+ESC is equivalent to pressing ESC on the
first field.

Mount Form Help
This screen gives you a chance to mount the proper
form on your printer.
The Printer Control File has not yet been sent to the

COMPOUND NAME CONNECTOR LIST
From this screen you may add or remove entrees from the Compound Name
Table. The Compound Name Table is used by the conversion portion of the
program to recognize Compound Names in a Last Name. If you have an Import
that has Compound Name Connectors that are not found in the Compound Name
Connector table you will want to add them to the table before importing
that file.
Press INS key to ADD you will be prompted to type in the new Compound Name
Connector to be added to the table. Press ENTER
To remove a compound name from the table, highlight the one you want to
remove, and press DEL. The pop-up will come up with the selected Compound
Name Connector to confirm deletion press ENTER.
NOTE:Single character Compound Name Connecters should not be used.

Forms Definition Table
This table lists all the Label Forms defined within the system.

Counting Entries in Mailing/Loaded Lists
Select Maintain the List of Mailing Lists, display the
contents of a mailing list, or display the contents of
the Loaded List, and press F4 (Count).
EZ-Presort will scan the data base for all entries that the
list references, and return a message at the top of the
screen containing the number of entries found.

Copying Mailing Lists
Mailing Lists may be copied to:
Another mailing list of the same type.
$A NAME-type mailing list.
The Loaded List may be copied to: A NAME-type mailing list only.
Multiple copies to the same target list are merged, with duplicates removed.
When copying the Loaded List or copying a mailing list to a different type,
the list is converted to a NAME list.
To copy a mailing list:
1. If it does not already exist, create the target mailing list.
2. Display a list of mailing lists (select either "Maintain list of mailing
lists", or "Maintain the contents of a mailing List")
3. Use the
keys to select the source mailing list, and press F2.
4. A list of potential target mailing lists will be presented.
Use the
keys to select the target mailing list, and press ENTER.
To copy the Loaded List:
1. If it does not already exist, create the target mailing list.
2. Select "Copy Loaded List to NAME Mailing List"
3. A list of potential target mailing lists will be presented.

Loaded List Table
The "Loaded List" is a selection of mailing lists, used to combine multiple
lists for a single Export or Label Generation. The option is available
from both the Mailing List Maintenance and Output menus.
There are two menu options:

Clear Load List
If Loaded List is selected, the list of entries is displayed (unless there
are none). From the Loaded List table, you can add or delete entries.
The INS key displays the Select A List to Load screen. Select an entry
with the
keys, and press ENTER to select. Press ESC to return
to the previous screen.
Selecting the Clear Load List removes all entries from the Loaded List,
after confirming the deletion on a popup screen which displays the
number of entries in the list.

Street Address Help
There are a maximum of three lines available for the person/company's
street address. Follow the addressing guidelines in the "USPS Third-
Class Mail Preparation" publication. You may use mixed case and punctuation
on the screen, but when labels are printed, all punctuation is removed,
and all characters are converted to upper case.
If you leave a blank line imbedded in the address, it is 'compressed' out,
and following lines are moved up. The LAST line in the address which
contains data determines where the mail is delivered. To insert a new line
within an existing address, select the line BEFORE which the new line is to
be inserted, and press F2. All following lines will be moved down, and
the selected line will be blanked, ready for input.

!Printer Codes
Printer control codes are a sequence of ASCII characters that your printer
uses to set modes, Lines/Inch, Char/Inch, Fonts, etc.
These codes are
documented in either your printer User Guide, or the Technical Reference
Manual for your printer.
ASCII codes are 8-bit strings that may or may not be assigned to keys on
your keyboard, but can be represented by decimal numbers between 0 and 255.
Follow these steps for generating a PCF (Printer Control File):
1. Decide HOW you want the printer set up, and an appropriate PCF Name.
2. Consult your printer manual for the list of codes required to
accomplish the setup.
3. Hint: If your printer has a 'reset to power-on conditions',
consider using it as the first code to establish a known setup before
entering the codes for the desired setup. If not, enter all codes
required to INSURE that the proper setup is generated.
4. Enter the codes as a sequence of 1-3 digit numbers. Some codes require
multiple numbers, as they are a sequence of ASCII characters.

There are two types of names:
Company Slugs:
The company name is entered, but no Last, First, or Middle name.
The company name appears in the person list as a name.
During label generation, any Company Slug string (such as
"MARKETING REP") will be placed in the second line of the label
as an: ATTN MARKETING REP
Person Name:
A person name may be present with or without the company name.
If a company name is present it is printed as the first line
of the label, and the person's name is used as an:
ATTN PERSON NAME on the second line of the label.
If no company name is present, the First and Last names are required.
If any portion of the person's name is filled in, the First and Last
fields are required. The middle name is optional.

The list of names displayed is the contents of the Mailing List selected.
You can Add and Delete entries (only).
Press INS Key to Add a new entry. A list of names on file will be
displayed, from which you select a person to be added to the List.

The entries are sorted by last name (company name for company slug records).
Use "Search by Last Name" (at the top) by typing the Last Name (or Company
Name) to quickly locate an existing entry. For instance, typing J would
display the first listing beginning with J. If there were a James, Jones,
and Johnson in your list, typing J would take you to the first name begin-
ning with J (James). Typing JO would take you to Johnson, and JON to
Jones.

"Slugs" are records with Company Names Only, with
no contact person, etc. A SLUG for "Marketing
Director" or "Purchasing Agent" may be used in
conjunction with the Company Name and Address.
You can, of course, use the 3 Name fields (Last,
First, Middle) for the same purpose, but this
would cause listings under Names of Persons like
"Marketing Director" and "Purchasing Agent," which
can cause confusion. As a rule, use a SLUG where
generalities are involved. Slugs may be edited in
the usual fashion.
If a person name is later added, it appears in the
normal manner, with that name. If, however, the
person name is removed, the labeling for that
record will switch to use of a Slug in addressing.

Temporary File Path Help
Export, Label Generation, and Displaying the contents of a mailing list
require several temporary disk files.
If you have more than one hard-disk on your system, you can direct the
temporary files to a DOS path on a separate disk, or to a Virtual
Disk (VDSK/RAMDISK) to improve performance. Depending upon the size
of your data base, this disk should have at least 1 MB of space.
The faster the device, and the more space available, the better.
The best performance will be obtained on a virutal disk, as the sorting
grouping, and sack assignment functions are disk I/O intensive.
Placing these files on a VDISK (in extended memory) makes the disk
I/O 'appear' to happen at memory speed.
This PATH is ignored when functions require Checkpoint/Restart capability
(Labels and/or ZIP Totals to hard-copy, and removing a large mailing
list's contents).

User Alarm Switch Help
After long periods of computer activity (greater than 5 minutes),
and user action is necessary, an Alarm Screen is normally displayed,
with a 3-tone beep every 5-10 seconds. This permits you to leave
the computer unattended while it builds addressee, group, and sack
lists, and be 'called back' when the computer is ready to start
printing labels.

Remove Mailing List and Contents
Be extremely careful using this option for State and ZIPCODE lists.
There is no cross-reference warning when a Person to be deleted is used
by other lists -- such as NAME lists. If you have imported 2 or more
Name lists which contain all residents of a State/ZIP in the list being
deleted, you will end up with EMPTY Name Lists. The other lists will
not be deleted, but all their contents will disappear.
ZIPCODE lists are especially hazardous, as ZIP prefix entries may delete
more entries than you expect. For example, if a ZIPCODE list contains
an entry containing a single-digit ZIP (such as '8'), ALL entries with
ZIPCODES starting with '8' will be included in the deletion list.
REVIEW THE PERSON DELETE LIST CAREFULLY BEFORE CONFIRMING.
The confirmation key for this operation is specifically "oddball" (ALT+F5)
to cause you to PAUSE AND LOOK before proceeding.

Mailing List Removal - Person Deletion List Confirmation
Use the
keys to Select a Person entry, and DEL to remove it from the
the deletion list. This RETAINS that person in the system and OTHER
mailing lists.
Press ESC to terminate the delete with NO Data Base Updates.
Press ALT+F5 to confirm the deletion of the mailing list AND Person File
data for all persons in the currently-displayed list.
Entries in All NAME lists which reference the persons in the final deletion
list will be deleted.
The NAME lists themselves will be left intact.
WARNING: This is the LAST confirmation before deletion actually starts
and is irreversable without a complete data base restore from
a backup copy. Once deletion actually starts, checkpoints
are taken, and, if a system failure occurs before completion,
the deletion will continue at the next MAILLIST startup.

Remove Mailing List and Contents Overview
The Remove Mailing List and Contents option deletes:
1. The selected Mailing List
2. It's Contents Records
3. All Person File Records associated with all Contents Records.
4. All 'NAME' mailing list contents entries associated with deleted
Person File entries.
While this option will function for any type of mailing list, it is
recommended that it be used for NAME lists only.
To remove a list, use the
keys to Select a list, and press ENTER.
The system will build and display a deletion list, consisting of all Person
file entries to be deleted. If no names are found, the list and its
contents are deleted without any further confirmation.
You may remove entries from the list to retain specific persons, or
terminate the delete. Once you confirm the Person List deletion, the
decision is irreversable, without a complete data base restore from a
backup copy.
Checkpoints are taken during processing, and in case of system failure,
this operation will be resumed during MAILLIST.EXE startup.

Import ASCII File will operate in two modes, depending upon the size of
your data base, the size of the import file, and the setting of the
Check Duplicate Entry option.
Append Mode
Person records are added without updating the data base indices, and,
after the import is complete, all indices are re-built. This mode is
selected if:
The import file size is greater than 20 KB, the (estimated) number
of records in the import file exceeds 5% of the existing data base.
For large import files, this method will out-perform the Add mode by
3-4 times. It cannot be used with Duplicate Check, as checking for
duplicates requires that the indices be current.
Add Mode
Person records are added, updating the person file and its indices as
each record is added. Best for small Data Bases, and Import Files.
Duplicate Check
Checks for duplicate Name/Address combinations before a record is added.

Once you press ENTER on the last field of the Import ASCII File data entry
screen, a dull-grey screen will appear, displaying a running status of the
import.
To terminate the import, press ALT+F10. Termination must be confirmed on
a pop-up screen.
DO NOT TERMINATE unless absolutely necessary, as all
data base updates must be removed. This can be a time-consuming job,
possibly exceeding the time you have already spent on the import.
If a system failure occurs, the next startup of MAILLIST.EXE will
automatically start a data base rollback, removing all entries that
have been imported from both the person file, and the NAME Mailing Lists.
The definition of the import NAME list (if any) created by import will
not be removed.
It can be re-used by restarting import, or manually
deleted.

ASCII Import File Overview
An ASCII import file is a man/machine-readable data file, with one record
per person to be added to your data base. It may take two different forms:
Delimited
A series of fields separated by delimiters. Each field is variable in
length. The delimiter is normally a comma (,). If a field contains
the delimiter character, it must be surrounded by some unique character
usually a set of quotation marks (").
Columnar
A series of fixed-length fields (columns). There are no delimiters or
surround characters. Each field begins in the same column in every
record in the file.
Header Record
The header record (if present) is usually the first record in the file.
It identifies the data fields (by name). In a delimited file, the header
record contains separators (and surround characters). In a columnar file,
each field name begins in the same column as the data fields.

Import ASCII - Duplicate Check Details
Duplicate checks option:
Both NAME and ADDRESS are compared. If they match, the person is
considered a duplicate. (There may be many people named John Brown,
but only one at the same address.)
If the Name/Address check shows no duplicate, the Date of Birth and Social
Security Numbers are checked. If DOB and/or SSN are available, and
match an existing data base entry, the person is considered a duplicate.
LIMITATION:
The duplicate check will probably fail for persons whose data base entries
have been updated by the USPS ZIP+4 service (it changes street addresses
and ZIP codes), unless the import file has also been USPS ZIP+4 verified.
If adding the import file to a NAME list, the existing person in the data
base is added to the list when duplicate entries are found. This can be
useful when importing files, and you wish to place the entries in two lists.
Import twice, once to each list.
The first import will select Append/Add
mode for you, and give the best performance for the import. The second will
select Add mode, but, since no records are added, performance is not
severely impacted.

Each diskette returned by the USPS must be imported separately.
An error list is kept for printing by the 'Print USPS Error List' option.
The records in the error list are date/time stamped with the STARTING
date/time of the import process. Records referencing persons deleted from
the data base are discarded with no error logged.
Retaining ZIP codes:
When applying the update to the data base, if the ZIP+4 service did not
supply a 10-digit ZIP, PreSort
normally removes the ZIP from the data
base, assuming that the address is in error. If you do not want this to

Form Feed After Label Help
Labels are normally printed as if on a continuous form, with blank lines
inserted to space to the next label. For some printers, (or when
printing envelopes) you may wish to use the Form Feed function to
position to the next label.
This option is ignored when outputting to a word-processor (WordPerfect or
MicroSoft Word) file.
When using the Form Feed function, your form must define a single column of
labels. Selecting a form with multiple columns will result in an error
message: "Invalid form with Form Feed after labels"
Select YES to insert Form Feeds instead of blank lines
NO to insert blank lines
The value selected is remembered for the next time you output labels.

Label Output Type
Select the type of output desired and press Enter.
If you are using WordPerfect 6.0, you should use
the Word for Windows option. Word for Windows
produces a standard ASCII, Tab delimited file
which is recognized by WordPerfect 6.0. This may
also prove to be the best option for other word
processors as well.
Labels are selected when you wish to produce a
print file directly to your printer.

Mailing Lists
The "Mail List" display permits you to add, update,
and delete the names of mailing lists, and update the
"last mailed" date.
A table of Mailing Lists is displayed. To Add a new
mailing list, press the INS key. To Update the name
or "last mailed" date, move the Selector Bar to a list
Name, and press ENTER. Once a list has been defined,
it's "type" cannot be changed.
To Delete a list, move the selector bar to a list name,
and press DEL.
NOTE: When a list is deleted under this option, the
Person File data is retained. Only the list and it's
immediate contents are removed.

Mailing List Overview (Pg 1)
The mailing list program prepares bulk mail labels and a ZIP code totals
report which conforms to the US Postal Service regulations (as stated
in the USPS booklet, "Third-Class Mail Preparation").
Before you can create a mailing list, you must:
Obtain a copy of "Third-Class Mail Preparation" booklet from your
local post office (a free publication).
Record all addressees in the data base
Define your labels/paper forms
Enter the printer control codes for your printer. (Only if the
printer is NOT IBM Proprinter I compatable, or the control codes
supplied with the program are not sufficient for your purposes.)
Optionally, set program operating rules (Bulk Specs: pieces, weight).
Optionally, define one or more mailing lists. You can generate a
single set of labels for ALL members of the data base without defining
a mailing list. You may have multiple lists loaded and printed.
Output (labels and reports) can be printed, or routed to a DOS disk file,
and printed using the DOS COPY command. All diskette outputs (except the
mailing Totals List Report) may be continued on multiple diskettes.

Mailing List Overview (Pg 2)
The first step in generating mailing lists is to enter the name and address
for each person in your list. The data base allows for additional
information, but only the First/Last Names, City, and State are required.
A ZIP code is required if 3rd-class (bulk mail) rates are to be used.
Note: A "Company Name" may be substituted for the Person Name fields.
If you have an IMPORT file available, Select the Import/Export file option,
and Import an ASCII file.
NOTE: This file must be in the format described
in the User's Guide and Help Screens.
To manually update the data base, select the 'Person List' Option.
Either the contents of the person list, or a data entry form (if empty)
will displayed.
From this list, you may add, update, or delete entries.
Press INSert to add. Move the selector bar to a name and press DELete to
remove a member, or ENTER to update a member.
In all cases, the data entry form will be displayed, with a 'mode' message
on the line immediately below the screen title.

Mailing List Overview (Pg 3)
Define a list of Printer Control Files used to setup your printer for
various LPI, CPI, and Print Quality combinations.
A starter set for
printers that are 100% IBM Proprinter compatable is furnished with the
program.
These PCF's are a set of ASCII characters, represented by 1 to 3-digit
numbers that your printer uses as control codes. See your printer
reference manual for which codes to use. PCFs automate the task of setting
your printer to the required format (e.g., lines per inch, lines per page).
Give each PCF a 'name', and enter the codes under the Printer Control
option.
You can run the program without PCF's, but you must MANUALLY setup your
printer before printing labels and forms.

There are 4 Sections to the Main Menu
1. Person List & Mailing Lists: Names, addresses and mailing lists are
accessed in this section. Mailing Lists also give access to the
Contents of the lists.
Be sure you have run the Forms Definitions and Printer Control
Codes options (Section 3) prior to printing.
2. Output Labels & Emport/Export ASCII Files: Generation of sorted labels
and output files (for word processors, USPS Address Verification, etc.)
are performed in the Import/Export section. You CANNOT output labels
unless the Form Definitions program (Section 3 ) has been run first!
3. Printer Control Codes & Form Definitions: Setup for printer (lines
per inch, characters per inch, etc.) and definition of forms for use
by the program (e.g., 3-Wide Labels, 1-Wide Labels, etc.)
4. USPS Bulk Rate Rules & Program Rules: This section is for setting
the guidelines for Bulk Mail of the Postal Service and for setting
the rules for program operation (e.g., phones with/without area codes,
zip codes required, etc.)

Mailing List Types
This program supports 6 different types of mailing lists. There may be more
than one of each type (except the LOADED LIST).
1. NAME
A list of individuals, selected manually from the person
list, or loaded during an Import ASCII file.
2. ZIPCODE
A list of 1-5 digit ZIP codes. All entries in the data
base which match the left-most digits present will be
outputted. For example, 857 would output all ZIP codes
which start with 857 (85701->85799).
3. CITY/STATE
A list of City/State combinatons.
4. COUNTY/STATE A list of County/State combinations.
5. STATE
A list of States.
6. LOADED LIST
A single use of mailing lists. This function may be used
to temporarily combine several lists into one for a single
mailing. For instance, you might have a CITY/STATE list
for southern Nevada, and a State List for Arizona and
California. You can load both lists into the LOADED LIST,
to produce a mailing to Arizona, California, and southern
Nevada. Any combination of the above 4 types of mailing
lists may be included. Duplicate addresses are removed.

Optional Endorsement Lines
Optional Endorsement Lines take the place of the USPS stickers on the first
piece in a bundle. If YES is selected, no bundle separator labels are
printed for D, 3, and S bundles. Instead, the first line on the first
label in the bundle identifies the bundle.

When OEL's are used, one address line defined in your form is reserved

POSTBAR Bar Codes
POSTBAR is a product distributed with PreSort
. It interprets the data
stream going to a printer, and inserts Postal Bar Codes as graphics.
PreSort
inserts the bar code in the data stream as a POSTBAR
'manual-mode' string.
You can choose to:
1. Print no bar codes
NONE
2. Print the bar code at the top of the label
3. Print the bar code at the bottom of the label.

Printer Control File Name
The Printer Control File Name is a 1-40 character Descriptive name for the
printer control codes.
Multiple printer control files provide ease of use for label generation.
The files are used to set your printer to match the various forms def-
ined in your program. E.g., 1" X 3.5" Labels would use a 10-pitch (CPI,
the USPS preferred character size), with 6 lines per inch (LPI) for line
spacing. Storing these settings for your personal printer makes the job
much easier to print, especially when there are only a few formats used
by you.

Printer Control File Overview
Printer Control Files are sequences of ASCII codes to be sent to the
printer to set Pitch, Line Spacing, Print Quality, etc.
They are
hardware (printer) dependent. Since most printers emulate the IBM
Proprinter series, control files for various Pitches, Line Spacings, and
Draft/NLQ modes are supplied with the program. If your printer DOES NOT
emulate the Proprinter, you must generate your own set of control files,
using the Printer manual or Technical Reference. All FORM definitions
REQUIRE a Printer Control File to be specified. When a set of labels
is to be printed, the PCF is the FIRST sequence of characters sent to the
output file (even if on disk). You are then given the chance to print
alignment marks.
One PCF may be specified as the Reset Printer Control File. This PCF
may be set from the Main Menu by pressing F3. If a Reset PCF is specified,
it is sent to the printer as the LAST sequence of characters after all
reports. You should select/setup a PCF that resets your printer to your
NORMAL mode of operation.

Selection Tables Help
A selection table displays a list of eligible entries from which you select
one to satisify a previously-displayed requirement. For instance, when
adding an entry to the LOADED LIST, a list of Mailing Lists is displayed.
Use the PgUp, PgDn,
keys to scroll through the list. If a "locator" is
displayed at the top of the list, you may type characters to locate either
the specific entry, or one near it.
Once you have moved the "selector bar" (Select Operation) to an
entry, press the ENTER key to complete the selection process.
Previous screen will be displayed.
If you do not wish to select an entry from the list, press ESC or CTRL+ESC.

User Expertise Level
The user expertise level (Novice/Expert) is displayed at the bottom
of the main menu. You may exchange one mode for the other by pressing
F2 on the main menu. The default at installation is Novice.
NOVICE: Whenever exiting from a screen will cause loss of data entered
on that screen (pressing the ESC key), the user is requested
to confirm the exit from the screen by pressing ESC (again).
Inadvertent loss of keystrokes by pressing ESC on the first
field of a screen is prevented.
EXPERT: No confirmation for exit from a data entry screen without saving
is requested.
The NOVICE exit confirmation only applies to data entry screens where
data base updates which the user entered would be lost.

USPS Rules: Minimim Qualifications for Mailing
3rd Class:
Currently, USPS requires 200 pieces of mail or 50 pounds
to qualify for 3rd Class Bulk Mail rates.
Change the 5-digit bundle count to 50 when printing Barcode
rate labels.
1st Class:
Currently, USPS requires 500 pieces, with no minimum
number of pounds to qualify for 1st Class Presort rates.
Change the minimum number of pieces to 500 and the
5-digit bundle count to 50 when performing 1st Class presort.

any 3 or 5 Digit bundles exist, within a state, that have

Currently, the USPS allows one free application of address
correction to your list. In order to qualify, you must have
a minimum number of names in your database. The present
number to qualify is 300. Check with your local USPS office
for details on obtaining this service.

USPS Rules: Apply Zip+4 Update - Footnote Handling
Some of the "error" messages generated by address correction
are "informational" only (address correction was still applied
to the records). These messages can cause your error listing
to become quite large. To avoid this, you may stipulate to
PreSort
that you want to exclude these informational
messages from the USPS error list returned.
On the "Informational" line, list the error codes (as found
on the address correction summary) you wish to Exclude from
the error list.
On the "Errors" line, list the error codes you wish to Include
in the USPS error list.
You have the option when applying Zip+4 Service to record
all footnotes, regardless of how they are specified here.

Currently, the USPS requires 85% of your mailing to have ZIP+4
Delivery Point Bar Codes to qualify for the lower rate.

This program meets all specifications within the booklet except for

Furnishes State BMC (Buld Mail Center) locations used on sack labels.
For State and Mixed States sacks, this program prints "
for these fields. You will need the Domestic Mail Manual (or help
from your local post office) to complete those labels. The information
is not included in the program, as the USPS periodically changes BMC
centers during re-organizations.
For 5-DG PKGS and 3-DG PKGS sacks, the city and ZIP code for the sack
label is derived from the City/State in the data base. (5-DG and
3-DG sacks contain groups for the same City.)

USPS Rules Help
The USPS rules are MAILLIST's definition of the USPS bulk-rate mail and
ZIP+4 service regulations. The defaults provided with the program are the
regulations in effect when the program was generated.
They were derived
from the USPS publications: "Third-Class Mail Preparation",
"Domestic Mail Manual", and from the ZIP+4 Service forms.
One rule (Force Sack if 5/3-digit or State group is found) is an optional
feature. It is not necessary for this rule to be 'YES' (the default).
Chapter 4 of the booklet states: "A State sack may contain fewer than 125
pieces or 15 pounds of mail." The rule is set so that all groups other
than "MS" (Mixed States) will be placed in a sack that is at least directed
to the state Bulk Mail Center (BMC). This should improve the USPS's
efficiency (get your mail delivered sooner), as the small groups will only
have to be sorted once (at the state level).
If the postal service changes any of these regulations, you can change the
appropriate field on the USPS Rules screen. It will be "remembered" from
session to session. To retrieve the built-in defaults, press F2.

USPS Rules: Apply Zip+4 Update - Footnote Handling
Some of the "error" messages generated by address correction
are "informational" only (address correction was still applied
to the records). These messages can cause your error listing
to become quite large. To avoid this, you may stipulate to
PreSort
that you want to exclude these informational
messages from the USPS error list returned.
You have the option when applying Zip+4 Service to record
all footnotes, regardless of how they are specified here.
Regardless of the footnotes, an error will be recorded in
the following cases:
No Zip+4 Returned
Address has changed in database since Zip+4 Export

Optional Word Processing Fields
When outputting labels to a word processing file (MS/Word or WordPerfect),
you may wish to place additional data fields in the output file for use
within the word processor (such as for creating form letters).
Select 'YES' to append 15 additional fields following the label lines.
The fields added are (in this order):

These fields are outputted "as is", with no conversion to upper case,
following the label fields.
Note: 'USA' and blank are both outputted as a NULL field.

USPS ZIP+4 Service Overview
The United Stats Postal Service (USPS) supplies a service which will update
diskette files with the correct ZIP+4, Carrier Route, and Delivery Address.
You furnish them with diskettes, fill out a form, and they return diskettes
with updated addresses, ZIP codes, and Carrier Routes. The ZIP+4 Export
option creates the diskettes for the USPS. The Apply ZIP+4 Update option
reads the diskettes returned from the USPS, and applies the updates to your
data base.
There is a flag in the Person File, indicating whether this function has
been applied to each person, and whether their address has changed.
Export outputs records to the ZIP+4 address correction service.
Import applies updates to all records for which the USPS returns a 10-digit
ZIP, and the address has not changed in the data base since the export was
generated.
Updating addresses will cause those persons to be exported during the next
Generate USPS ZIP+4 run for re-verification.

Label Print Direction (Order)
If you use label/tab affixing machinery, you may find that
using them "reverses" the order of your labels. This is due
to many of the machines placing pieces on top of the preceding
ones, thus reversing the order.
If your mail will be processed by such a machine, you will
want to print your labels in "reverse" order, thus making
the final result in the correct sorted order.
